Avoiding Toner Scams: Protect Your Business and Stay Informed
At XRX Business Centre, we’re committed to providing reliable, hassle-free service to our customers. Unfortunately, we’ve recently been made aware of toner scams targeting businesses, including our valued customers. These scams are becoming more sophisticated, and it’s crucial for businesses to stay vigilant and informed to avoid falling victim.
In this blog, we’ll explain what toner scams are, how they work, and most importantly, how to protect your business from these fraudulent practices.
What Are Toner Scams?
Toner scams are fraudulent schemes where scammers pose as legitimate suppliers, attempting to sell toner to unsuspecting businesses. These scammers often call or email businesses claiming to represent well-known brands or service providers, such as FujiFilm Business Innovation (and recently as XRX Business Centre). Their goal is to trick businesses into paying for overpriced or unnecessary toner, or worse, steal sensitive information.
How the Scam Works
One of our customers recently reported a scam attempt where the caller claimed:
"We are calling from XRX Business Centre… you have a FujiFilm machine, and we need to supply your toner."
Thankfully, the Operations Manager recognised this as suspicious. As a long-term XRX Business Centre customer with an active service agreement, they knew this wasn’t our standard procedure for toner orders.
This example highlights the increasing sophistication of these scams. They use specific details to appear credible, making it even more important for businesses to stay alert.
Red Flags to Watch For
Here are some common tactics scammers use and red flags to look out for:
Unsolicited Calls or Emails
Scammers often reach out without prior contact, claiming to represent your service provider.
Requests for Immediate Payment
They may pressure you to make a payment quickly or provide payment details over the phone.
Invoices with Unexpected Charges
If you receive toner with an invoice showing a charge when your service agreement covers toner, this is likely fraudulent.
Unfamiliar Ordering Processes
Legitimate suppliers like XRX Business Centre have established processes for ordering toner, and they won’t suddenly change without informing you.
